Invoicing

Open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping.

 

Two types of invoices can be made:

Manual non-recurring invoices

Automatic invoices based on time registration, disbursements and fixed fees.

 

For existing invoices the following functions can be done manually:

Credit invoice

Copy invoice

Change invoice address

 

With the print button Print in the tool bar invoices can be

booked

shown on screen

printed

saved outside Mill7

send by e-mail

transferred to the client bookkeeping

 

Saved invoices

The following type of invoices are saved within the system and can be selected by pressing the button behind the field inv.no.

booked invoices

allocated draft invoices based on time, disbursements and fixed fees

not booked manual invoices including credit invoices and copy invoices

 

Logging

For every booked invoice the creation date will be saved.

This date can be used on reports time and invoicing.

 

New Bookyear

The trust version has a functionality to book invoices for the upcoming bookyear before this bookyear is created.

 

Invoice layout

It is possible to use a custom made layout for the invoice, the time specification and the cover letter.

 

Example procedures for creating invoices

Manuel non-recurring invoice

1.To enter the invoice data open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping.

2.Use the print button Print in the toolbar to book, show, print, save or e-mail the invoice.

 

Automatic invoices

1.Open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping. Next press the button with the clock (at the top next to the debtor currency) in the invoice screen.

2.Choose an action (Book, Report, Adjust concept, Print)

3.Select the debtors, time, disbursements and fees to be invoiced

4.Process with <OK>

 

Allocate draft invoices

By setting the option 'Allocate draft invoices' drafts will not be deleted but can be viewed and approved in Mill7.

1.Open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping. Next press the button with the clock (at the top next to the debtor currency) in the invoice screen.

2.Choose the action Allocate drafts

3.Select the debtors, time, disbursements and fees to be invoiced

4.Process with <OK>

5.Approve the draft invoices via menu Bookkeeping> Time> Approve draft invoices

6.Open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping.

7.Choose the print button Print in the toolbar

8.Choose an action like Book, e-mail in combination with <Drafts>

9.At the proposal select the invoices to be processed and choose the action button at the right bottom of the screen.

 

Rejected draft invoices must be deleted before the involved time and fees could be corrected. Deleting draft invoices can be done via the proposal. After that time and fees can be changed and a new (draft) invoice can be created.

 

Other manuel invoices

1.Open the invoice module by pressing the button Invoicing Factuur in the tool bar or select Invoicing in menu Bookkeeping.

2.Choose the list button at the inv.no. field.

3.Choose the type of invoices to show in the list (booked, not booked, drafts)

4.Select an invoice from the list

5.Chose an action (Credit invoice, Copy invoice, Display/save new address)

6.Change the invoice details when needed

7.Use the print button Print in the toolbar to book, show, print, save or e-mail the invoice.
