The available functions in Mill7 are determined by the installed modules, the version, the user license and the user rights.
The Mill7 Basis version is a single user version, therefore user rights are not applicable to the Basis version.
The Pro version and the Trust version are multi-user installations for which user licenses and user rights can be set.
In the Trust version it is also possible to choose for a more complex rights system, the extended right system.
User license
Mill7 comes in different modules and in the Pro version and Trust version a user must be granted a license per module. This can be done by menu Supervisor> Users> Licenses.
User groups
Rights are entered per user group, making it possible to enter the rights once and link this group to a number of users.
To give a user certain rights, a user group can be assigned to a user in menu Supervisor> Users> Maintenance.
A Group can be created via menu Supervisor> Users> Groups.
Type of rights
Granting rights to a Group can be done via menu Supervisor> Users> Rights.
Mill7 has several rights:
General rights
1. General
- Financial
- General
- Import
- Invoicing
- Menu access
- Relations
- Reports
- Time
2. Relation management (in combination with the Relation Management module)
- Files
- Relations service company
Access rights to Bookkeepings
3. Client bookkeepings
When using Mill7 Trust it is possible to create a bookkeeping as a client bookkeeping or a (internal) service company bookkeeping.
In the pro version all bookkeepings are considered client bookkeepings.
4. Service companies
In Mill7 Trust a bookkeeping can be created as a Service company bookkeeping.
These are listed apart from the client bookkeepings.
The user SUPERV always exists and has user group 0 (zero) with all rights.
Therefore the general rights for this user group cannot be changed.
When a user creates a new bookkeeping, he automatically receives the rights to open and change that bookkeeping.
Because rights are set per group, all users in that group will also receive these rights.
Users in other groups will not have these rights until granted to them.
When a new tabpage is activated in relation management all users will receive all rights for this tabpage.
When a user creates a new bookkeeping for a service company, he automatically receives the rights to open and change that bookkeeping.
Because rights are set per group, all users in that group will also receive these rights.
Users in other groups will not have these rights until granted to them.
However, all user groups will receive the rights to read and write at relations of this service company in relation management.
After creating a new bookyear for a service company or a client bookkeeping the rights for the new bookyear will be the same as for the previous bookyear.
The user SUPERV is able to open all bookkeepings. This user account can only enter the supervisor menu.
When starting Mill7 a screen to select a bookkeeping is presented.
By pressing F4 a list of available bookkeepings appear.
Whether a user is allowed to enter a bookkeeping is mentioned in the column Rights.
The Mill7 Trust version has an option for an extended right system.
The setting Extended right system in menu Maintenance> Settings tabpage General must be set.
The extended right system is activated after restarting Mill7.
More user groups can now be entered per user in menu Supervisor> Users> Maintenance.
The extended right system sets two types of rights:
1. General rights
- General
- Relation Management / Relations of service companies
2. Access rights
- Bookkeepings clients
- Bookkeepings service companies
Both groups are divided in rights for service companies and rights for client bookkeepings.
The choice which group is used depends on the type of bookkeeping that is opened.
All client bookkeepings / Service companies
An additional settings can be made in the user maintenance concerning access rights.
The field All can be used to give a user access to all client bookkeepings and/or all service companies.
Client bookkeepings can be excluded from this right. Via menu Supervisor> Users> Rights tabpage Client bookkeepings they can be excluded with the button "Exclude bookkeepings".
A range of bookkeepings can be entered here.
When a user is allowed to open all client bookkeepings he can open all bookkeepings except for this range.
The normal right system will be used for this range of bookkeepings, which means that the access rights must be entered per user group.
This range of bookkeepings is applicable to all users
