Mailing

The Mailing function is part of the Funds module and is started through menu Administration> Funds.

 

As a result of an action, a capital call or a distribution notice, e-mails can be created for a fund, addressing all participants involved.

 

Tab page Settings

 

Fund

Select the Fund and if required a specific Capital call or Distribution notice.

 

Call/Notice

If required select a specific Capital call or Distribution notice.

 

Cc Internal

One or more e-mail addresses can be added. Use a semicolon to separate the addresses.
These e-mail addresses will be added to the e-mail together with the 'Cc addresses' filled in at the investor.

 

Bcc Internal
One or more e-mail addresses can be added. Use a semicolon to separate the addresses.
 

Subject

By default the subject is filled with the description of the selected call/notice but this can be manually altered.

 

Include participant name in subject

This option can be used to include the name of the participant in the subject, the name will be placed before the given subject.

 

Body text

This option makes it possible to provide text for the email body with various formatting properties such as color and font. Images are also supported.

Use the prompt button to create, select or maintain body texts. With the 'New' button in the toolbar, a new text can be created.
English and Dutch texts are supported. The language applied in the e-mail is determined by the language of the investor.

Body texts can be saved and edited for future usage.
To select a body text, use the Open button in the toolbar.

The phrase "{opening}" can be incorporated into a body text. When generating an email, this code is replaced by the opening sentence that can be entered by the person for this purpose.

 

Attachments
If desired, file(s) can be selected to be attached.

 

Attach fund mailing report
A custom report can be added as an attachment.

This report will be based on the Fund mailing report template that is linked to the fund.
Templates are custom made. Please contact the Millogic helpdesk when a template is needed.

 

E-mail method

E-mails can be send by STMP or by your local E-mail client

 

Tab page Recipients

On the Recipients screen only participants of the selected notice are shown.

An investor can participate in a funds with several commitment amounts due to a transfer of commitment.

 

When no notice is selected all participants of the funds are shown.
Participants with more than one commitment are shown only once.

 

Code

The investor code.

 

Reference

The investor code followed by a sequence number.
This indicates that the investor participates more than once in the funds due to a transfer of commitment.

 

To

By default the 'To Addresses' at the investor tab page Mailing is used, if left blank the field 'E-mail address' at investor tab page General is used.

 

Cc

These e-mail addresses consist of the 'Cc Addresses' filled in at the investor tab page mailing.

 

Participants without an e-mail address cannot be selected.

Missing e-mail addresses can be added at the investor.

 

<Send>

With this button the e-mail messages will be created one by one.
The e-mails are not sent automatically.

Every e-mail can manually be modified, saved as a draft in the e-mail provider, deleted and /or sent to the addressee.

 

<View example>

If the option View example is selected only one e-mail will be created as an example.

This example can be used to check if the result is satisfactory.

To use this option the setting Local client: use outlook driver must be checked.

 

Send e-mail direct

With this option, E-mails can be send or saved as draft automatically, without interference of the user.

When saved as drafts you can use the following script to send all E-mails from the Drafts folder in outlook.
