Via the menu Maintenance> Time and Invoicing> Cases projects can be set for certain debtors.
A case (project) can be used as an extra dimension for time writing.
In order to use cases during writing time the option 'Use Column Case' in Settings, tab page Time had to be set on.
To create new cases for a group of debtors the function Import cases can be used.
Creating a case for a debtor
A case is a project which is assigned to a debtor and in with for the project specific details can be set.
The time status set in the case overrules the default time status of the activity.
The following fields are mandatory:
–Debtor
–Project code
Debtor
Here the debtor is selected. Cases have to be created per debtor.
Case
This is the name of the case. The name must be unique for this debtor.
Invoicing
Here is set which time status time written on this case default get.
Default value is 'Yes'.
Default
By setting Default on Yes this project will appear in the column Case, once the debtor is selected for time writing.
Default value is 'No'.
Description
This field is optional and can be used for extra information about the project.
From / Until
A case can be set active over a certain period. This can be used on reports
When a 'Max per bookyear' is set it is not possible to enter a period.
Adjusted time rate
Default the time rate is determined by the user and the activity.
An adjusted time rate can be entered at Debtor and at case.
The adjusted time rate at case overrules other time rates set.
Block
When this option is set on it is not longer possible to write time on this case.
This case will no longer appear in the list of cases for this debtor, in the window Time.
Amount
A maximum amount for this project can be entered here.
In combination with Max per bookyear and Max. based on it is checked during time writing whether the maximum has been exceeded.
Time
A maximum amount of time for this project can be entered here.
In combination with Max per bookyear and Max. based on it is checked during time writing whether the maximum has been exceeded.
Max per bookyear
This field indicates if the check on maximum during time writing concerns the time or the amount entered at the case
When value 'None' is chosen no check will be executed.
When checking all time lines are taken along with a date in the bookyear period.
Max based on
This field can be used to indicate whether to check for Max per bookyear should be applied to 'Billable time' (entries with status F or J), or to 'Non-billable time' (entries with status N).
Default value is 'Billable time'.
If during time writing the maximum is exceeded a message will appear.
The time line will automatically adjusted till the available space. Time exceeding the 'Max per bookyear' is written on a separate line with time status L.
The check on maximum is only performed in the screen 'Time per date'.
The check on maximum is not performed while copying Time.
In the screen 'Time per debtor' this maximum can be exceeded.
