Time is invoiced depending on the status of the debtor.
Further more the settings of a debtor determines the work in progress.
All can be calculated with the report Time status review.
Status Time and Debtors
The report Time status review shows time registration totals, like work in progress. The totals are grouped by status of debtor or time registration records. How does Mill7 expect you to handle the different procedures according to the status:
Active
A debtor with a status within the range as set in settings will be considered active.
Prospect
Prospects are debtors with a not active status (for example status Prospect). Because time is registered for prospects with status J (to be invoiced) the time counts as work in progress, but will not be invoiced because of its debtor's status.
Prospect does not become client
Set the debtors checkbox Block time registration. Use the supervisor utility Change time totals to set all time registration records to No. This can also be done manual, record by record.
Time registration records with status No are not counted as work in progress. These records are deleted in the procedure of creating a new bookyear (records of Debtors set to not invoicing time are also deleted).
Prospect becomes (normal) time client
Change the debtors status to Active and set the debtors checkbox Invoice time. Prospect time registration records, which are not to be invoiced, are individually set to No.
Prospect becomes all-in fee client
Change the debtor's status to Active and uncheck the debtors checkbox Invoice time. Use the supervisor utility Change time totals to set all time registration records to No. Enter an all-in fixed fee.
Time client becomes all-in fee client
Uncheck the debtor's checkbox Invoice time . Use the supervisor utility Change time totals to set all time registration records to No. Enter an all-in fixed fee.
All-in fee client becomes time client
Set the debtors checkbox Invoice time . Use the supervisor utility Change time totals to set all time registration records to Yes. Change and the all-in fixed fee and maybe send a credit invoice.
Temporary block invoicing of time
When time of a debtor is not to be invoiced in a next invoicing procedure, then set the status of the time registration records to Later. Warning: If you block invoicing of time by unchecking the debtor's checkbox Invoice time, then the distinction with all-in fee clients disappear: Don't do this.
Client relation stops
When a client relation stops set the debtors checkbox Block time registration. Registered time is still to be invoiced, unless the status of the records is changed.
Note: If only the status of the client is changed to a not active state the time will not be invoiced, but will be counted as work in progress.
