With the Recalculate periods function, the periods in daybooks and journal entries can be checked and corrected and they can also be adjusted.
This function can be started via Supervisor > Book > Recalculate periods.
The period associated with a date in a journal entry depends on two settings: The period duration and the start and end dates of a book year.
If these settings are changed, it is advisable to have the periods recorded in daybook pages and journal entries redetermined.
Changing the period duration changes the number of periods per calender year.
With a period of one year there is only one period in a year and with a period of one week there are 52 or 53, depending on the number of days in a year.
A period of one month is the most common. Then there are 12 periods in a calender year.
By entering a different start and end date, the book year boundaries are adjusted.
A year can be a normal year, starting on January 1 and ending on December 31 of the same year, but it can also be shortened, extended or shifted.
The current period duration and book year boundaries can also be found in the settings, but they cannot be changed there.
The Recalculate button first displays a warning because the recalculation process cannot always be reversed.
It is therefore advisable not to perform the function if there is no good backup of the administration available.
Before recalculating, it is checked whether the new start and end dates do not conflict with dates from the previous and following book year.
If both dates are accepted, a check is made to see whether there are journal entries in the daybook pages that represent multiple periods with the intended settings.
If errors are found during this check, an error report is presented with the details. The dates and period duration will then not be adjusted and no recalculation of the period will take place.
If no errors are found, the new start and end dates and the new period duration are saved and can be recalculated. Recalculating is optional, but strongly recommended.
